Digital copies of official university documents are now available to UTS students and new graduates through My eQuals.
My eQuals (opens external site) is a secure and trusted provider of certified digital documents. It allows users to securely view their documents and share them with third parties, including employers and other universities.
As a new graduate, you can use My eQuals to directly access the following official university documents:
As a current student, you can use My eQuals to access copies of your academic record (transcript). You will be able to access the above documents upon your graduation.

How to access your digital documents via My eQuals
My eQuals is only available to current students and students who are graduating in 2018 and beyond. We aim to have the service available to past students and alumni in mid-2019. Read the following if you are a:
From 2018, all new graduates will receive their official university documents digitally, in addition to receiving a printed testamur. Graduates will be issued digital copies of their:
These will be accessible via My eQuals (opens external site), through which graduates will be able to instantly provide these digital copies for employment and further study applications.
Important: UTS will email you the registration link to access your My eQuals account. This will be sent to your personal email address so please ensure your details are up to date in My Student Admin.

For new graduates, access to your documents via My eQuals is automatic and will not incur a cost as it is included in your graduation package.
Please note, a new graduate is a student who has already completed their degree and is eligible to graduate with an award conferral in Autumn 2018 or beyond.

What is My eQuals?
My eQuals (opens external site) is an online service through which UTS is able to securely issue digital official university documents to our current and graduating students. By using My eQuals you can receive digital copies of your official university documents whenever, wherever.
UTS uses My eQuals to issue the following digital documents to:
- current students - academic record (transcript), and
- graduating students - academic record (transcript), Australian Higher Education Graduation Statement (AHEGS) and testamur.
You can also use My eQuals to share select documents with third parties, such as employers and other universities, with control over who can access the documents and for what length of time.
Why does UTS use My eQuals?
More and more we find that there is a preference for digital documents over physical ones. At UTS we recognise that for your convenience, and also for potential employers, official university documents need to be accessible online.
UTS is one of more than 40 participating universities across Australia and New Zealand to use My eQuals (opens external site) as a trusted and secure source through which to make your documents available and also minimise our paper-based practices.
How does using My eQuals benefit me?
There are a range of reasons why My eQuals (opens external site) is great for students and graduates, including:
- It’s fast – My eQuals cuts out the delay of printing, processing and posting, and grants you immediate access to certified digital documents. This way, you can also achieve your goals faster by having portable documents that you can share as you like.
- It’s online – you can access your documents whenever you like, from wherever you like. The same goes for whoever you share your documents with, such as potential employers or other universities. Moreover, you can decide who has access to them, and for how long.
- It’s certified – your documents are guaranteed official copies from UTS. My eQuals ensures the total security and authenticity of your documents, making them more valuable to employers because they’re able to trust that your documents are genuine and issued by us.
Which documents can I access through My eQuals?
Beginning with our 2018 graduations, students will be presented with only a printed version of their testamur at their graduation ceremony, or they can elect to receive it via post or collection from our Building 10 Student Centre.
Through My eQuals (opens external site), graduating students will then be able to access digital copies of their official university documents, such as their:
- academic record (transcript),
- Australian Higher Education Graduation Statement (AHEGS) and
Current students are able to access their academic record (transcript). To receive a digital transcript via My eQuals, current students must submit an Application for Academic Record (Transcript) and pay the administrative fee.
Please note: the issuing of documents by UTS to My eQuals is phased. This means that each document is issued separately – beginning with your academic record (transcript) – and may take up to 48 hours to become viewable from the receipt of issue as notified by email.
How do I use My eQuals?
If you’re a graduating student you need to make sure that your personal email address is updated in My Student Admin – this means that even when your UTS student webmail account expires, you can still use My eQuals (opens external site) – ensuring you can access your official university documents anytime, anywhere.
Prior to your graduation ceremony, you’ll be able to set up your My eQuals account, just follow our user guide (803kB).
If you're a current student, once you have submitted your Application for Academic Record (Transcript) and it's approved, you will be able to create your account.
How can I share my digital documents?
You can share your documents online to third parties by using My eQuals (opens external site) to generate a link to the document on the My eQuals site.
By sharing the document as a link, its verification remains intact. You can choose to share documents to certain email addresses and for limited periods of time.
Does it cost to access my documents on My eQuals?
For new graduates from 2018 onwards, access to documents through My eQuals (opens external site) is automatic and will not incur a cost as it is included in your graduation package.
Can I still get a printed copy?
Yes, you can request a printed copy of your documents, for which administrative fees will be payable:
- For a printed copy of your academic record submit an Application for Academic Record and select 'printed copy'.
- For additional copies of your AHEGS submit this form.
- A testamur is issued only once upon graduation and a printed copy can only be replaced if the original is lost, stolen or damaged. To replace a testamur submit this form.
For graduating students from 2018 onwards, only a printed copy of your testamur will be awarded to you at your graduation ceremony. For students who do not attend a graduation ceremony, it is also possible to elect to receive your printed testamur via post or collection from our Building 10 Student Centre.
Although printed copies may seem slightly more glamorous, using digital copies through the My eQuals site (opens external site) is authentic, fast and easy to use.
What makes these digital copies trustworthy?
My eQuals (opens external site) is a result of inter-university collaboration, and each participating university provides only authentic, certified copies of their documents to the service.
For My eQuals documents, the certification information is consistent with UTS standards, their contents cannot be altered, and the certification is always clearly displayed to anyone who views them.
When documents are viewed by third parties, if there is an instance of tampering or modification the document status may be labelled ‘revoked’ or a red X and error message may be shown.
I’m a UTS alumnus, can I use My eQuals?
We’re in the process of making official university documents available through My eQuals (opens external site) to UTS alumni. Currently, My eQuals is only available to current students and new graduates, however, we aim to have the service available to alumni from mid 2019.
I’m an employer and have received a link to My eQuals – what does this mean and can I trust it?
On request, a UTS student or graduate can provide access to their official UTS credentials through My eQuals (opens external site). This guarantees the document's authenticity as graduates can't upload or modify documents in My eQuals. Only accredited universities from Australia and New Zealand can issue documents through this platform. You should also check that you are viewing the document through the My eQuals site - the link should start with https://myequals.net.
Remember: while students and graduates have access to view documents, only the issuing university can upload or modify them.

My documents have been revoked, what does this mean, and does this affect my sharing?
If a document is revoked then any shares are also revoked, and third parties will no longer be able to access the documents. If you order a new transcript, or it is updated, the current copy will be revoked.
The student or graduate will need to log into their My eQuals account and create a new share once the updated version of the transcript is made available.
Who can see my documents – are they secure on My eQuals?
My eQuals (opens external site) is a secure and trusted platform. Through their service, your documents are protected from fraud and their integrity as a qualification of UTS is guaranteed. The digital documents are tamper-evident and clearly certified when shared with third parties. Even after your records have been issued, the cryptographic security that My eQuals uses is periodically updated to ensure long-term protection.
Once UTS issues a digital document to you through My eQuals, you are in total control. Only you can see your documents, and you decide with whom, and for what length of time, the documents are shared.
However, UTS remains the provider of our student records and has the ability to update and/or revoke documents.

I would like to opt out of My eQuals…
If you don't want your official university documents to be issued digitally when you graduate, you must register your choice to opt out of My eQuals during your graduation registration on My Student Admin.
If you're a graduate or current student and have already agreed to use My eQuals, but change your mind at a later date, please contact email@example.com.

If opting out, all of your digital documents will no longer be available through MyeQuals. You will receive an automatic email notifying you of this. Once opted out of My eQuals, you cannot opt back in.
If you choose to opt out of My eQuals and would like to obtain additional printed copies of your documents following your graduation ceremony, you will be required to pay every time. There is no other way to receive a digital copy than through My eQuals.
