Marketing privacy notice

From 11 January 2023, this UTS Marketing Privacy Notice replaces the Student Marketing and Recruitment Privacy Notice.

Under this notice, the University of Technology Sydney is referred to as we, us, our or UTS. This notice explains how we collect and process your personal information to communicate with you about UTS, our services, courses, key dates, or in relation to events or your subscriptions.

Collecting your information

We collect your name and contact details to allow us to communicate with you.

For study: If you request further information about our university, services or courses, we will also collect:

• current/previous school/institution or employer
• your preferences for courses and areas of interest for future study, and
• status of your application/admissions if relevant.

We may receive this information from others. For example:

• the Universities Admissions Centre (UAC)
• a parent or legal guardian, your school or related school program
• a course finder, social media or campaign site that may advertise our course offerings on our behalf
• UTS College, if an enquiry to them relates to a UTS course. Refer to UTS College’s privacy notice.

For events: If you register for an event, we will also collect:

• your registration and attendance, including any accessibility, dietary or support needs, and
• photographs, video or screenshots taken during an event. You will be informed of this at the time.

Note: some events may have their own privacy notice that should be read in conjunction with this notice.

For newsletter subscriptions: If you subscribe or register for a newsletter or newsfeed, we will also collect:

• your subscription details, including preferences and areas of interest.

Our website: Information is collected when you browse our website. Refer to our website privacy notice.

Collection of your information if you are under 16 years of age

You need to obtain approval from your parent or legal guardian before providing your information to us.

How we use your information

Your information will be used:

• to communicate with you, this may include tailoring communications to your individual needs
• to manage our marketing, events and subscription activities
• for quality improvement and planning, including strategic planning, in relation to how effective our communications, marketing strategies and events, and student recruitment and retention have been. This includes conducting market research.

Online advertising

We also advertise to people based on what they do online. This is called targeted or contextual advertising and allows us to provide you with more relevant communications. We do this by:

• using information we collect via cookies on our own website, and
• using third party retargeting cookies to target advertise on other websites based on your prior visits to our website.

You can update your ad settings with the relevant third party platforms directly, such as via Google or Facebook. If you want to find out more information about how to opt out of such advertising, visit the Network Advertising Initiative.

Who receives your information

Your information may be provided to:

• our partners and service providers helping us deliver our services - we provide your information to contracted industry partners and service providers who support us and provide services on our behalf. This includes providers that manage our events; support/host our information systems or websites; support data quality or data visualisation and analytics; distribute communications and surveys; or recruit and engage with our students. Some service providers will store or access data outside Australia and in the cloud. When we disclose your information or it is accessed on our behalf by a service provider, we take measures to ensure our service providers treat your information in accordance with applicable privacy legislation.
• UTS College - we will refer inquiries to UTS College if related to UTS College courses, services, or pathway programs. Refer to the UTS College’s privacy notice.

We will not otherwise disclose your information where it is not directly related to the primary purposes referred to in this notice, unless you have provided your consent or it is required or permitted by law.

How long will your information be kept

Your information will be kept for as long as it is required for the above purposes, and in line with our requirements to retain records under the State Records Act 1998 (NSW).

Your rights

You can make the following requests by contacting the relevant contact listed below in this notice:

• Request access to or correct your information, or request more detail about how it is used.
• Request we stop processing your information or restrict how your information is processed.
• Request we delete your information. Restrictions may apply to deletion requests.
• Make a complaint about how your personal information has been handled.

Unsubscribe

You can stop receiving communications that you have subscribed to at any time by using the unsubscribe link in any of the emails we have sent you, or by contacting the relevant contacts below.

Note: if you unsubscribe you may still receive communication from UTS if you have given your contact details for other purposes. You may also still receive online advertising (refer to Online advertising).
