Procedures for the use of the Official Noticeboard

1. Introduction

These procedures have been prepared to provide a statement about the proper use and maintenance of the official noticeboard on the UTS website.

2. Authority

The Governance Support Unit, on behalf of the University Secretary, has the authority to authorise the display of official university notices and information on the Official Noticeboard, in accordance with By-law provisions Part 2, Division 1, Clause 11(1) and Part 4, Division 3, Clause 46(1), Rule 2.3.1, Rule 2.3.5, Rule G3, Clause 20(1) and Schedule 1 to the Student and Related Rules.

3. Official notices

Official notices will be posted by staff designated by the University Secretary on the Official Noticeboard at: https://www.uts.edu.au/about/uts-governance/official-noticeboard

4. Use of the noticeboard

The Official Noticeboard is to be used solely for posting specified types of official university notices and information.

4.1 New Rules and Rule changes

In accordance with Part 4, Div 3, Clause 46 (1) of the UTS By-law, new Rules and Rule changes must be promulgated by means of a notice displayed on the University’s Official Noticeboard.

4.1.1 Notices relating to new Rules and Rule changes shall be retained on the Official Noticeboard until such time as they are published in an official publication of the University, in accordance with Part 4, Div 3, Clause 46(1) and (2) of the UTS By-law.

4.2 Election notices and results

In accordance with Part 2, Div 1, Clause 11(1) of the By-law, if an election of members of the Council is necessary, the Returning Officer (the University Secretary) must publish a notice on the Official Noticeboard of the University.

4.2.1 Notices relating to elections shall be retained on the Official Noticeboard until such time as the Returning Officer makes his or her final report relating to the elections.

4.3 Academic Board and Council minutes

The minutes of meetings of the Academic Board and Council will be displayed on the Official Noticeboard at least until the minutes of the next meeting become available.

5. Maintenance and location of the official noticeboard

5.1 The online Official Noticeboard will be maintained by the Governance Support Unit as part of the UTS website, the contents of which are the responsibility of the University Secretary.

5.2 No material is to be placed on, or removed from, the Official Noticeboard without the prior knowledge and approval of the University Secretary.

5.3 The Official Noticeboard, and the notices and information on them, must not be changed, removed or relocated without the prior knowledge and approval of the University Secretary.
