Clinical compliance process
Compliance documentation
Each year students are required to complete compliance documentation pertaining to their degree.
This includes but is not limited to:
UTS MyPlacement Forms
- Student Inherent Requirements Form
- First Aid Details Form (Nursing only)
- Working with Children’s Check Form (Nursing Only)
NSW Health Requirements
- NSW Health Code of Conduct Agreement for Students
- Undertaking/Declaration Form
- Turberculosis (TB) Assessment Tool
- Blood Borne Virus Declaration (Midwifery Students Only)
- National Police Check
Start preparing your evidence and obtain any vaccinations needed once you accept your offer and enrol in your first clinical subject. Further instructions are provided upon your admission to the course.
If you aren't compliant by the deadlines provided, you won't be able to attend placements and risk failing the subject.
You may also need
- Evidence of TB screening. This is dependent on how you answer questions in the Tuberculosis (TB) Assessment Tool. See Appendix 3: TB Assessment Decision Support Tool here.
- An overseas criminal record check and or Statutory Declaration Form
Temporary compliance
You can gain temporary compliance only in relation to Hepatitis B if you have shown that you have received the first dose. This will give you more time to complete the full course and have serology taken.
You must follow the NSW Health schedule for Hepatitis B vaccination (opens an external link) which is specifically for students and may differ from what your GP advises.
Working with Children Check (Nursing students only)
Applying
Apply for this check via the NSW Office of the Children’s Guardian.
Step 1
- Complete the online application form as soon as you have accepted your offer and enrolled in a clinical subject
- Apply as a volunteer (If you apply as a Volunteer there is no application fee)
Step 2
- Visit a Service NSW Office to verify your identity. Your application can't be finalised until you do this step. See a list of documents they accept.
Step 3
- You will receive your check within 4 weeks
What if my placement doesn’t involve working with children, do I still need to apply for a check?
Yes! Why?
- You won’t know if your placement needs WWCC, when you do it will be too late to apply
- You will work with children at some point during your degree
- The check is valid for 5 years
- If you don’t have it before your first placement, you won’t be able to attend a clinical placement
National Criminal Record Check (Police Check)
You must have this check completed before attending a clinical compliance session.
Applying
Step 1
- Local and International Students apply for a National Police Check (we recommend Veritas). Alternatively, you can get a National Criminal Record Check from NPCS Accredited Brokers.
- International students also need to apply for a Police Check from your home country (if you're an international student who has lived outside of Australia for more than 6 months after turning 18 years old). Alternatively, International students can complete a Statutory Declaration which can be signed by a JP on Compliance Day.
The check must:
- be from a CrimTrac Accredited Broker Agency or an Australian State or Territory Police Force or the Australian Federal Police
- state that it is a National or Australia wide check
- include your full name and date of birth (the name has to be the same as your student ID)
- not have any offences listed (students with a criminal history must provide a Clinical Placement Authority Card (CPAC) or conditional letter from the Employment Screening and Review Unit, NSW HealthShare)
- be printed in colour
Step 2
- Take three forms of identification (including one photo ID to a police station for verification)
Step 3
- The process can take several weeks (longer if you have a criminal record)
I already have a police check result
You can use your current police check, if:
- It was obtained in the last two years (e.g. for 2021, obtained no earlier than 2019)
- It covers the dates of your placement
- You haven’t had any police convictions since it was issued
- You renew your police check a minimum of 4 weeks before it expires
I have a criminal record
Having a record doesn’t mean you can’t attend clinical placements.
You need to:
- Apply for a police check
- Apply for an Authority to Undertake Clinical Placement through NSW Health (PDF, 216KB)
If NSW Health decides your offence won’t be a risk during clinical placement you’ll get a full Clearance or a Conditional letter. It may have some conditions for your placement which you will need to let the CPU know as soon as possible.
Code of Conduct Agreement Form
As part of your clinical practice compliance, you need to read and understand the NSW Health Code of Conduct. These are a set of standards that you need to follow. Make sure you take a signed copy of the NSW Health Code of Conduct Agreement.
All of your compliance checks can be found in the 'Checks' tab under MyPlacement. It is the student's own responsibility to ensure their checks are up-to-date throughout their degree.
