Pre-departure

Welcome to UTS!

We are pleased that you have chosen Study Abroad or Exchange at UTS and we look forward to meeting you in Sydney when you attend orientation.

If you have completed the Study Abroad application or the Exchange application process then you are ready to take the following important steps towards finalising your enrolment.

You need to complete the following steps before you leave your home country. Read through each step carefully.

The dates currently listed are for students commencing Semester 2, 2008 (starting in July). If you will start studies at UTS in a later semester, please revisit this page three months prior to your start date.

Student visa


Once you have your Confirmation of Enrolment (CoE) you will need to apply for an Australian Student Visa subclass 575-Non-Award. Check your CoE details before lodging your visa application and contact Study Abroad and Exchange team as soon as possible if any information needs to be corrected.

Remember, it is your responsibility to check with your home university that you will receive credit for the subjects you undertake at UTS.

You must enrol in 18 to 24 credit points of study per semester to satisfy student visa requirements.

Step 1: Predeparture information and arrival details

As a new student at UTS you are NOT required to register for enrolment. However you are required to to read the relevant pre-departure information available from the UTS International commencing students website. You must also submit your arrival details online prior to leaving your home country.

When planning your trip to Australia, you should ensure you will arrive in Sydney prior to Monday, 21st July 2008 as your attendance is required at the Official Welcome to UTS and the Study Abroad Exchange Essential Advice session on that day.

Step 2: Activate your UTS Email account

You must activate your UTS Email account prior to enrolment.

  • Please ensure you enter your birthdate in the correct format (dd/mm/yy).
  • Your Student number is the same as your 8 digit application number, you will find it at the top right hand side of your letter of offer.
  • As a new student you do not have a UTS password so you will need to select one before clicking on the "Activate your Account" button.

Once you have successfully activated your account you will receive a confirmation message. Make sure you write down your:

  • UTS ID number
  • your email address
  • password

You will need to refer to them in the upcoming steps.

Step 3: Business subjects enrolment

Are you approved to undertake any Business subjects?

For Business subjects:

  • The Business Subject Form (pdf, 30kb) - must be returned in order to finalise your enrolment.

    The Faculty of Business will complete the first half of the enrollment process for you. They will directly enrol you into a maximum of 24 credit points of business subjects per semester, according to the order of preference you listed, however, final enrolment will be subject to class availabilities and class placement is not guaranteed. Therefore, if a class is full at the time of receiving the Subject Preference Form then you will not be enrolled into the class.

    Allow 3 days for your Preference form to be processed.
  • Business will enrol you into subjects where possible but doesn't request class times for you.
  • You must also request class times for both your Business and non-Business subjects.

Step 4: Web enrolment

Using your new UTS User ID and password (from Step 2)

  • logon to My Student Admin
  • ensure to log in between 8:00am and 10:00pm Sydney time (opens an external site)Monday to Friday
  • enrol in each of your chosen subjects on your study plan.

Before you attempt to enrol you should read the Web-Enrolment information.

If your attempt to web enrol is not successful carefully note the reason for the error. Then visit our enrolment error messages section of the Student Administration Unit website for further information.

Some of your approved UTS subjects may be full prior to your enrolment. In this case we recommend you enrol in alternative subjects if you have approval to do so. If you don't have approval to enrol in alternative subjects please submit an e-Request to seek approval for new subjects. The relevant UTS faculty will then assess your request and reply to you directly within 2-3 working days. When you submit the e-Request you may seek approval for more than one subject at a time by typing a list of subjects (in order of preference) in the "Notes" section of the e-Request. This will give you the best possible chance of gaining approval as quickly as possible.

If your enrolment is not successful for reasons that are not explained you can contact the Study Abroad or Exchange team for help.

Step 5: Select your class times using My Subject Activities

For each enrolled subject you need to register your class times, or 'activities', using My Subject Activities.

For some subjects you will need to select one available class and directly register yourself. Your place in that class will be immediately confirmed if successful. For other subjects you must nominate 'Preferences' (choose/rate your preference of class time). In some other cases there may only be one class available, therefore you will be "Auto allocated" to that class.

If a subject appears as "Read Only" this means you are not required to select class times. Your class times for this subject will be finalized during your first week of studies at UTS.

It is important for you to complete this step as soon as possible.

Step 6: Checking your personal timetable

If you complete Step 4 - Web enrol and Step 5 - Select your class times using "My Subject Activities" your personal timetable will be released for viewing on the My Subject Activities website.

You will then be able to look at your timetable by clicking on the My Allocations link at that website. Room allocations are not shown until a few days before the start of semester.

You should check your Personal Timetable regularly in the weeks before the start of semester, as the faculties may need to make changes to the timetable or add extra classes.

Step 7: Apply to change (Add/Drop) subjects

  • The last date to ADD subjects in Spring 2008 is 8 August 2008.
  • The last date to DROP subjects in Spring 2008 is 29 August 2008.
  • If you need to add pre-approved subjects in Spring 2008 you should repeat Step 4 and Step 5 listed above.
  • If you need to add subjects that are not pre-approved (subjects that are not listed on your UTS study plan) you will need to submit an e-Request to explain the changes.
  • If you need to drop subjects, you should "withdraw" them from your study plan at the My Student Admin website.
  • Please be aware that changes cannot be guaranteed and some subjects may be fully enrolled prior to your arrival in Sydney.
  • Please also remember to check that your home university will approve any new subjects for credit transfer.
  • You will need to remain enrolled in 18 - 24 credit points per semester to satisfy your student visa conditions.

Any changes to your subject enrolments or class activity registrations are NOT GUARANTEED and considered solely based on availability.

Step 8: Language subjects (for example ... French/Japanese)

You do not have access to enrol yourself into language subjects. During orientation week, you will need to go to the Institute for International Studies to complete a Language Assessment Form and be placed into the correct level. This applies to all levels, including beginners.

Attend orientation

Attendance at Orientation is compulsory for all new students. It's also a great time to get to know your fellow classmates and meet the people at UTS who can help you most.

When planning your trip to Australia, please ensure you will arrive in Sydney prior to Monday, 21 July 2008 as your attendance, on that day, is required at the:

  • Official Welcome, and
  • Essential International Advice Session for Study Abroad and Exchange students.

The Official Welcome will commence at 9:30am in the UTS Great Hall. You will find the Great Hall at our City campus - Level 5, UTS Tower, Sydney.

All study abroad and exchange students must attend the Official Welcome on 21 July 2008 - you should not attend the official welcomes on other days.

Please contact the Study Abroad or the Exchange team at UTS International if you are unable to make it on time.

For Study Abroad students a receipt for your tuition fee payment will be given to you during the Study Abroad and Exchange essential advice session. If you have not paid your total tuition fee, please refer to the back page of the invoice to organise payment after your arrival.
