Policies, Terms and Conditions
The following policies cover UTS Email Accounts, any internet access and use of any UTS computers and networks: http://www.itd.uts.edu.au/policies/policies.html. The University communications networks are provided for the purpose of teaching, learning, research, professional development and administration. The IT policies inform users of their rights and responsibilities in relation to their use of the Webmail service. It applies to all users of the University's information technology (IT) facilities and is consistent with the provision of an environment that respects freedom of inquiry and expression, privacy and confidentiality, the law and due process.
It is the responsibility of the user of these facilities to read and be aware of these policies. Breaches of these policies may lead to disciplinary action, legal process or expulsion.
'Third parties will be involved in the storage of email material and account details. The University has entered into a contract for the provision of these services. A version of the agreement (with minor variations) can be viewed via the following link: https://domains.live.com/Addendums/en-us/EduWithOutlookLive.htm
For the purposes of the agreement you are an End User. We suggest you read the agreement and become familiar with the terms and conditions of use including the parts relating to disclosure of personal information. This relates to the circumstances in which the third party may disclose personal information. These include complying with laws or legal processes, protecting personal safety or protecting the rights of property. Students who do not wish to use the new email system should organise to direct incoming mail and current mail to their own preferred mail service.
Can you opt out of the upgraded Webmail service?
No. All students of the University on enrolment will be issued a Webmail account on the Microsoft Webmail service. Students who are currently directing incoming Webmail email to their own preferred email service such as Gmail, Hotmail or a work email account will not be impacted by this change as redirections will not be changed.
Will my Email address change?
No. Your UTS Webmail email address will remain the same: First-name.Surname@student.uts.edu.au - example: John.Smith@student.uts.edu.au.
Can you change your display name?
No. The display name for your Webmail account is based on your first-name and surname details as recorded in the University student management system.
What will be the send address for the Webmail account?
Mail sent from your upgraded Webmail account will be sent from your @student.edu.au address - example John.Smith@student.uts.edu.au
Will forwarding/ redirect preferences remain in place once my account has been upgraded?
Yes, students wishing to forward/redirect email to an alternate mail account are required to establish forwarding in your Webmail account. For more information on forwarding messages to another account, refer to Microsoft's "Use Rules to Automatically Forward Messages to Another Account.
However, the University encourages you to get familiar with all that Webmail has to offer and use it is your primary e-mail account. Forwarding University emails to a non-UTS email account will be at your own risk. It is also highly recommended that you check your Webmail inbox on a regular basis to ensure mail is being received and forwarded and that your storage capacity has not reached its limit. UTS will not be responsible for the handling of email by other email service providers and will not guarantee delivery to forwarding addresses or monitor and/or manage undeliverable messages.
What happens if I reset my UTS Access account password?
Whenever your UTS access account password is reset the Webmail password is automatically updated to provide you with a consistent login.
When will my Webmail account be migrated?
Your Webmail email account will be migrated between 1 December and 24 December. This is a lifetime email account that stays active beyond graduation from UTS. Once your account has been migrated you will notice the new Webmail look and feel after logging in.
Can I still access Webmail when the UTS Network or related services are unavailable?
Yes, you can access your UTS Webmail account directly at login.live.com.
Please Note: You will have to be using a non-UTS network.
How is your privacy and data security maintained?
UTS and Microsoft take your privacy and data security seriously. These issues were a major consideration when evaluating this product for use. Microsoft is vigilant in maintaining compliance with global privacy laws and meeting numerous government-mandated and industry-specific security requirements, including the National Privacy Principles contained in the Privacy Act 1988 (Commonwealth of Australia) and Privacy and Personal Information Protection Act 1998 (NSW).
How is SPAM managed in the Webmail?
Webmail uses the Windows Live infrastructure to combat spam and phishing and by default junk e-mail filtering is enabled on all mailboxes so that users can manage spam settings for their mailbox. Visit help.outlook.com using the keyword Spam for a more detailed explanation about spam management in Webmail.
Can you keep track of other email accounts from within my Webmail account?
Yes, please see Microsoft's instructions on how to keep track of e-mail from other accounts by connecting to them from your Webmail account. You can connect up to five accounts, such as Hotmail, Gmail, and Yahoo! Mail accounts. This lets you send, receive, and read mail from all the accounts in one place.
Will you be able to access Webmail from your PDA/ smart phone, an external mail client or desktop client?
Yes, you can access your Webmail account with different e-mail clients (such as Outlook, Apple Mail, etc) or a mobile phone.
To send and receive emails from your mobile device it must be able to support ActiveSync or IMAP4 email protocols. ActiveSync and IMAP4 are protocols available for delivering mail to your device. UTS recommends using ActiveSync or IMAP4 protocol methods to connect to your Webmail account.
- ActiveSync synchronises your device and Webmail, so they both show the same content.
- IMAP4 (Internet Message Access Protocol) downloads mail to your device while retaining messages in Webmail, and provides access to all created folders. All actions are "mirrored" and saved in Webmail.
For detailed information on setting up access from your phone, external mail client or desktop Microsoft refer to the UTS Webmail: Live@edu setup guide or the help site.
Are there any message, mailbox and recipient limits established?
Yes. For the most current information provided by Microsoft please visit help.outlook.com/en-us/140/dd630704.aspx
Is your data in your Webmail account backed up?
No. Under Webmail multiple copies of your data is stored securely in a large scale data centre. However, data is not backed up for retrieval if deleted and it is recommended that you maintain a backup of your critical documents manually.
Can I access my UTS Webmail and Hotmail accounts at the same time?
No. Currently you can't log into Hotmail and UTS Webmail at the same time. This is because in any browser you can only have one Liveid session active at a time. Microsoft has indicated that as a component of the Federated Identity Solution changes coming in 2011, this will no longer be an issue.
You can get around this by accessing your accounts via different browsers.
Can't log into your Webmail Account?
- Have your activated your account? Account activation can be done at https://email.itd.uts.edu.au/webapps/myaccount/activation/
- Are you using the correct login details? Access the account using your current UTS user account credentials username and current password.
Why have my folders been renamed?
If you currently use languages other English in the naming of your folders, these will be renamed in the upgraded Webmail system with a random selection of letters and numbers. The email in these folders will not be affected. Your email provides foreign languages which can be selected in preferences.
